How you'll fit in:

The database administrator is responsible for maintaining the CSG Justice Center's internal data management system, efficiently producing a range of reports from within that system, making enhancements to the system, facilitating the development and submission of quantitative reports to funders, and building staff capacity to utilize all database systems. The person in this position will also lead efforts to ensure that the organization has adequate tools and training to manage projects and external contacts. Oversight of data systems includes all related and integrated software. This database administrator will ensure that the organization has a comprehensive set of database systems and other technology tools that are explained through regular trainings and staff resources so that staff across the organization can use them effectively. Additionally, the database administrator will ensure data security, integrity, and proper data usage across multiple divisions.


What you'll do
:

Specific responsibilities of the database administrator include the following:

System Integration and Oversight

  • Monitor system performance, use, and integration of all constituent, grant, and project management database systems used by the organization. This includes ensuring that all modules and system functions are utilized and integrated.
  • Provide systemwide recommendations to improve the current system design, configuration, coding, and maintenance in accordance with the organization's desired use and output needs.
  • Recommend and implement emerging database technologies that will improve user experience and organizational needs.
  • Communicate with database developers and users to oversee/implement database updates and third-party application software, when applicable.
  • Create and maintain blueprints that illustrate how information assets are stored, processed, and accessed across the organization.
  • Actively participate in strategic organizational discussions and problem-solving regarding data, systems, and information flow.
  • Identify, recommend, implement, and support organization with systems and methods for managing and integrating structured and unstructured information across the CSG Justice Center.
  • Develop documentation for best practices regarding data storage and access.
  • Recommend and train staff on data storage and management solutions.

Database Administration

  • Maintain FLUXX, the CSG Justice Center's internal data management information system, and other integrated systems including Asana and DocuSign. Troubleshoot database software, system updates, user support, and ongoing opportunities to enhance our data management tools. Ensure that software upgrades and security features are regularly managed.
  • Develop and update system architecture and workflows; be responsible for the regular maintenance, alignment, and cleanup of all coding used across constituent, grants, and project management data systems.
  • Manage database user access, including the ethical handling of all sensitive data and managing the database against unauthorized users.
  • Maintain database integrity by setting and enforcing standards, controls, and security protocols.
  • Design and implement maintenance procedures, including reconciling information reported to funders with the information that exists in the database.
  • Conduct trainings for new employees.
  • Conduct regular refresher trainings for all staff.
  • Conduct audits of staff activity and system use.
  • Develop written training, documentation, and operating manuals.
  • Oversee all data entry that includes a variety of records (constituent, grants, contracts, actions, etc.). Duties also may include some data entry, global updates, and data imports as needed.
  • Identify areas for improvement and work with program directors and program staff to develop solutions and workflows.

Report Management

  • Manage and support all reporting needs from database systems, including regular and ad hoc reports that are requested.
  • Design and oversee data collection practices that ensure compliance with funder reporting requirements.
  • Export information for funder requests, as well as for cross-divisional collaboration.
  • Work with policy staff to identify areas where data collection and reporting can enhance policy objectives.
  • Develop semiannual reports of program and policy work.
  • Lead the internal grant mapping process from grant proposal submission to final report.
  • Manage data elements of grant reporting, including tracking and reporting grant activities to the federal Bureau of Justice Assistance through the Training and Technical Assistance Reporting Portal.
  • Compile data and report grant activity on a regular basis for use in reporting.
  • Train staff in the use of funder data portals and reporting mechanisms and configure database reports to meet funder and project requirements; may include managing temporary data entry staff and/or cleanup projects.
  • Define reporting deadlines and outline parameters for reporting grant activity.

  • Six years of professional experience, specifically working in a combination of policy, data, and systems management or combination of education and relevant lived/work experience
  • Experience as a database manager or administrator working with FLUXX, Asana, and DocuSign and/or customer relationship management systems
  • Excellent communication skills and customer service orientation
  • Proficient in Microsoft Word and Excel
  • Patient, meticulous, detail-oriented, dependable, and capable of multitasking and prioritizing tasks
  • Good problem-solving, analytical, organizational, and interpersonal skills
  • Ability to communicate with technical and non-technical staff in a clear and concise manner
  • Strong office management and computer skills, including but not limited to Windows and Mac operating systems, the Microsoft Office Suite, and knowledge in web applications

CSG believes that pay equity and pay transparency advance workplace fairness. Compensation will be equitable and based on experience and geography. The NYC-based salary range for this position is $85,000-$99,000. The starting salary for this position outside of NYC may be as low as $85,000. Salary ranges are subject to change based on work location and market conditions.
